Finding Reservations/Navigating to the Reservation Details Page - Administrators

This article will assist Administrators with locating and navigating to a particular Reservation Details page.

To view or make changes to an existing reservation within your district or school site, you must first locate the Reservation Details page for that reservation. The Reservation Details page can be accessed in the following four ways:

  • Clicking the blue “see details” link in an email notification regarding the reservation
  • Locating the reservation under your administrator dashboard’s Reservations tab
  • Clicking on the reservation in your administrator Calendar
  • Searching for the Reservation ID using the search function in your administrator account.

Let’s look at each of these options in detail below.

Finding a Reservation from an Email Notification

When a reservation is submitted for your district or school site, you will receive an email notification containing the Reservation ID, renter, event name, school site, facilities, and event dates and times.

You can jump directly to the Reservation Details page from this email, by either clicking see details next to the Reservation ID, or the hyperlink included in the paragraph following the list of event details (see image below).

Please note that when clicking on a reservation link from an email notification, you should first ensure you are logged into the correct administrator account for the site of the reservation. If you are not already logged in, clicking a link for a reservation from an email notification will bring you to the Log In page.

Finding an Incoming Reservation from the Reservations Tab of your Administrator Dashboard

An Incoming Reservation is a reservation placed by an external renter, or by another school site in your district.

From your Administrator Dashboard (see Using the Dashboard - Administrators for assistance in locating your dashboard), click the Reservations tab from the navigation bar to the left. From the dropdown, click Active.

  1. Incoming Reservations: By default, the Active Reservations page will show all Incoming Reservations.
  2. Search: You may use the Search function on the Active Reservations page to search by Reservation ID, event name, or renter organization.
  3. Active Reservations tab: Navigating in your Administrator Dashboard to the Reservations > Active tab will bring you to this Active Reservations page.
  4. Filters and Save: You may filter by date range, status (Approved, Pending, Cancelled, Declined), or type (Internal or External). You may also save a filter view once created, by clicking Save.

Finding an Outgoing Reservation from the Reservations Tab of Your Administrator Dashboard

An Outgoing Reservation is a reservation placed by your school site that takes place at your site, another school site in your district, or any other school site or district.

From your Administrator Dashboard (see Using the Dashboard - Administrators for assistance in locating your dashboard), click the Reservations tab from the navigation bar to the left. From the dropdown, click Active.

  1. Outgoing Reservations: By default, the Active Reservations page will show all Incoming Reservations. To view the Outgoing Reservations for your school site, toggle the drop down at the top to Outgoing Reservations.
  2. Search: You may use the Search function on the Active Reservations page to search by Reservation ID, event name, facility, or user’s name.
  3. Active Reservations tab: Navigating in your Administrator Dashboard to the Reservations > Active tab will bring you to this Active Reservations page.
  4. Filters and Save: You may filter by date range, status (Approved, Pending, Cancelled, Declined). You may also save a filter view once created, by clicking Save.

Finding a Reservation from Your Calendar

Approved and Pending reservations will appear on your Administrator Calendar, as either solid (Approved) or checkered (Pending) tiles in the Calendar View format. For assistance in locating your calendar, please see Finding My School Or District's Calendar.

While your calendar may be filtered by organization, facility or facility type, services, status, or type, similar to the Active Reservations page you may also use the Search function to search by Reservation ID, event name, or renter organization.

Clicking on a Reservation's tile will generate a pop-out with a summary of the reservation. Click on more details to go to the Reservation Details page.

Finding a Reservation Using Search

Once logged into your Administrator Dashboard, a search box will appear in the upper right hand corner of any page. If you know the Reservation ID, paste it into this search box and click the :mag: magnifying glass icon, or hit Enter on your keyboard.

Searching by Reservation ID will bring you to the Active Reservations page automatically, with that particular reservation pulled up. To view the Reservation Details page, click on the blue hyperlinked Reservation ID.
