Reservation Activity Tags - Administrators

This article will assist administrators with applying activity tags to new and existing reservations, finding events on the calendar using their activity tag, and filtering reservations by activity in the Events report. 


What Is an Activity Tag?

An activity tag is just what it sounds like - it’s a label that shows what kind of activity the reservation is, and allows the reservation to be searched for according to the activity type. For example, if you are looking for all of the reservations with the “Cross Country” tag applied for the month of September, you can filter for these reservations on your Facilitron calendar to quickly find all reservations that have been tagged as “Cross Country”. 

Activity tags can be applied, changed, or removed at any time, and are not required at the time of reservation creation. 


Applying an Activity Tag While Creating an Internal Reservation

When creating a new internal reservation, you’ll find an “Activity Tag” dropdown menu, where you can select the activity tag that best corresponds to your event. 

The example below shows how to apply an activity tag for Cross Country.

Applying an Activity Tag to Existing Reservations

To apply an activity tag to an existing internal or external reservation, navigate to the Reservation Details page for which you would like to add an activity tag. For assistance with finding reservations, please see Finding Reservations/Navigating to the Reservation Details Page - Administrators.

Once you’re on the Reservation Details page, scroll to the renter’s contact information on the left side of the page. You’ll see an Activity Tag dropdown, and will be able to choose the activity tag that best corresponds to your event. 

If a new activity tag needs to be added, please reach out to your Facilitron account manager to have this configured.

Activity tags can also be changed by simply selecting a different activity from the dropdown. To remove an activity tag entirely, select “None” as the activity tag. 


Filtering by Activity Tag on the Facilitron Calendar

To find reservations with one or more activity tags, click the blue “Activity Tags” button to choose the activity tags that you would like to filter by.

“Show All” will be selected by default. Click the checkbox next to “Show All” to deselect this option if needed, and select the checkboxes next to the corresponding activity tags that you would like to see reservations for. To search for reservations that do not have an activity tag, simply check the box next to “None”. 

The example below shows how to filter for events with “Cross Country” selected as the activity tag.  


Using the Activity Tags Filter in the Events Report

The Activity Tags filter can be used to find reservations with an activity tag applied in the Events report, as shown below.
