How To Verify or Invalidate a COI After an OCR Scan

This article will assist administrators with verifying and invalidating insurance certificates using the Optimal Character Recognition (OCR) feature found in the Insurance section of external reservations.


Using OCR

To Open OCR, scroll to the Insurance section and click “Verify”. 

Once open, OCR will show the COI, the insurance requirements that must be met per your organization, and what information is provided on the COI versus what is correct, as determined by your organization. 

The required elements needed for verification are listed below the PDF preview. Any requirements that the COI does not meet should be marked with a red check. If the COI meets a requirement that was marked, the corresponding box can be unchecked. If the requirement is not met, the box should remain checked. It is also important to make sure the policy effective and expiration dates match those present on the COI. Any events that fall outside of the policy effective and expiration dates listed on the COI will not be covered by the insurance policy. 

After going through and checking all of the requirements, you will see an option to toggle amongst the three COI status buttons. The three statuses are "Verified", "Not Verified" and "Invalid". Select "Verified" if all requirements have been met and "Invalid" if the requirements are not met. After choosing a status, click the blue button (emphasized below). This button will say "Mark Invalid" if the "Invalid" status is selected, and "Mark Verified" if the status selection is "Verified". 

Next, an email notification will go out to the renter either stating the reasons why the COI was marked “Invalid”, or to let them know that their insurance has been verified.If you need Facilitron Support's assistance with verifying a COI or reaching out to a renter regarding their COI, you can leave a Facilitron alert on the reservation.
