Managing Work Order Alerts

This article will explain how to access, set up, and assign work order alerts. Order Administrators and Order Processors have full access to this feature, while Order Approvers have limited access.


Accessing Work Order Alerts

To access the alerts, go to Manage > Manage Alerts > and select the alert type of your choice from the list.


Types of Alerts & Alert Setup

The work order email alerts are system generated emails to designated users for a specific purpose.

To create this alert, click the blue + Add Alert Button > select the relevant consumable types > select the recipient > click Add Alert.

New Work Order Assigned to Worker Alerts

This alert notifies a worker if they are assigned to a work order after it is received by M&O.

To create this alert, click the blue + Add New Subscription > select the recipient > click Save New Subscription.

Stagnant Work Order Alert

This is an email notification to let designated recipients know whenever a work order passes a particular aging threshold without being closed. This can be set to notify various levels of supervisory staff when work orders are “aging” past a reasonable time. This can allow for a departmental refocus of resources to address the aging work orders. This report will generate on a regular basis according to how it is configured. 

To create this alert, click the blue + Add Alert Button > select the relevant recipient > enter the days stagnant > select the relevant email frequency > select any properties, purposes, trades, work categories, status types, and priorities > click Add Alert.

Work Order Origination Alert

This is an alert that generates any time a new work order is created for a specific property. This is the only alert type available to Order Approvers. As an Order Approver, you must first be assigned to a property to set up a work order origination alert.

To create this alert, click the blue + Add Alert Button > select the relevant recipient > select any properties, purposes, trades, work categories, status types, and priorities > click Add Alert.


Work Order Change Alert

This will send an email alert any time a specific change is made to a work order, such as being set to high priority or emergency, status of pending hazmat approval is set, etc.

To create this alert, click the blue + Add Alert Button > select the relevant recipient > select any properties, purposes, trades, work categories, status types, and priorities > click Add Alert.
