Here we will note what the places, locations, and properties are in Facilitron Works and how to best utilize their features. This article can serve as a reference for all user roles in Works.
Places
A place is anywhere in the district where a work order may be requested, and where work can be done.
“Place” is a broad category, and the two main types of places are properties and locations, which we will discuss here. In Works, places fall under four categories. They are:
- Hazardous Materials
- Locations-Spaces-Doors at Property
- Properties
- Property Classifications
The “Locations-Spaces-Doors at Property” and “Properties” pages are frequently utilized when configuring places in Works, and so we will focus mainly on them.
Properties
A property is any owned building within the organization. Common examples of properties are individual schools, district ancillary facilities such as Head Start, the district office, food services, etc. Please note that all properties need a classification (or type). This means indicating if the property is classified as a high school, middle school, district ancillary facility, etc.
To add a new property, go to Manage > Places > Properties. You will arrive at the screen below. To add a new property, click “+ Add New” in the top left corner.
Locations Within a Property
A location is used to specify where work is being requested for a given property. Examples of a location are classrooms, cafeterias, theaters, pools, and bathrooms. Essentially, any specific area for which work can be requested is classified as a location.
Doors can also be associated to locations in Facilitron Works. Please see What Is Key Management? to learn how to implement a key management system for doors located within the properties you are managing work orders for.
To add a new location, go to Manage > Places > Locations-Spaces-Doors at Property. This will take you to the following screen:
To add a new location, click the blue “+ Add New Location” button. You will then be taken to a new page where you will be able to add a new building/ asset location.
If hazmat is present and this needs to be noted, please see Hazardous Materials (Hazmat) to set up a hazmat notification.
How to Bulk Import Locations and Properties
To bulk import properties or locations, go to the ellipses (3 dots in the upper right corner) > Import Data.
You fill find yourself on the Import Data page. Select “Import Properties and Locations”.
You will then be taken to the Import Properties page. Click the blue property Excel spreadsheet template text to download the Excel form needed for the import. This form will ask for information necessary to importing any new properties and locations. Once this form has been completed and saved on your device, click “Choose File” to upload.
Please note the criteria that all imports must contain in the bolded black text on the spreadsheet template and page below. You may use the blue “Preview Import” button to check that all of the criteria needed for new properties and locations has been met as well.
Once all of the required information has been noted on the spreadsheet, you may upload and import.
