The Different Statuses of a Work Order and What They Mean

This article will help Facilitron Works users understand the different statuses that may be assigned to a work order.


What Does the Status Do?

The status of the work order tells where it is in the process from submission to completion. The various statuses “push” that work order to the necessary user, such as a Worker, M&O Order Administrator, or an Order Approver. You can see a work order’s status in the "More details" section. We will go through the work order statuses, including optional statuses depending on the property owner's workflow, below.

Common Work Order Statuses and How They Function

Many statuses are pre-built into the system. Examples of these are as follows:

  1. Status Submitted - This status causes the work order to display in an approver’s inbox for that property.
  2. Status Approved - This status causes the work order to populate on the receive screen. Work orders submitted by an approver are automatically set to approved. 
  3. Status Received - This status indicates that Maintenance has taken possession of the work order.

  4. Status Closed (Pending Review) - This status populates the Review and Close sub menu.

Optional Work Order Statuses

  1. Duplicate
  2. Locked - Fiscal Year Closed
  3. Req. for Estimate
  4. Site Assigned - Closed (... Or Open)
  5. Pending Haz Mat Approval
  6. RFI - Request for Information
  7. Pending Budget Approval

Configuring New Work Order Statuses

Order Administrators have the ability to add more options to the Status dropdown menu on new work orders, and curate meaningful reports. To learn more about the reports available, please see Pulling Reports in Facilitron Works.

To configure a new status, go to Web Site Configuration > Status > and click the" + Add New" button. On the next page, enter the name of the status, display order (how it appears in the dropdown list on new work orders), whether or not this should show on the Receive Screen, disposition, and whether or not the status should be inactive. Click "Insert" to add to the list of statuses.
